January 2015 Board Meeting Minutes

**Due to the holidays, no formal meeting was held in December.**

Home Owners Association Board Meeting
Wednesday, January 14, 2015 - 7pm at Clubhouse

Present: Rich, Allison, Michael, Emily, Jenelle, Jim, and Joel (all)

Rich
  • Reserve Analysis Schedule - We went over the community maintenance projects we will have completed in 2015.
Allison
  • Ice - Due to the cold weather, several units have ice build-up on their front porches, as in previous years. We continue to recommend residents purchase snow melt. We will also have Peak spread snow melt when they come to shovel snow. Allison has ordered a heated doormat and will let us know if it works.
  • Leaky Roof on Unit 20 - Allison will contact roofing company to look at the leak and send us a bid. 
Michael
  • 2014 Budget Review - We ended up with positive net income last year.
  • Late Dues - 15 units are behind on their monthly dues from December. Key cards have been turned off for those units who owe more than $50.00.
Jim
  • Landscape and Snow Removal Updates - Peak replaced one of the sump pumps at the retention pond. The second one is not working, but is just a back-up pump, so we will see how the new one does before replacing the second. Peak performed leaf clean-up through December. They have also performed snow removal twice this winter.
Emily
  • New Move-Ins - Discussed any new residents in the community.
  • Dimmer Switch - Emily purchased a dimmer switch for the theater room as requested by Jenelle. All electrical repairs in the clubhouse will be completed in the next couple weeks.
Jenelle
  • Electrical Fixes - Discussed compensation for Emily and her husband for fixing the electrical issues.
  •  Theater Room Updates - Projector bulb went out and Jenelle had it replaced. The projector only projects in black and white. With the help of a knowledgeable resident, Jenelle replaced the wires and a few other items, determining something is wrong with the projector itself. Resident is currently taking it apart to determine the issue or if it just needs to be replaced.
  • Unit 99 Violation - Miscommunication between board members as to what happened. We will handle violations on case by case basis.
Joel
  • No business

Proposed: Close and drain hot tub until March since the heater is broken. Replace heater in spring with our 2015 budget.
