Community Time:

Whitney's concern of dead bushes. Second phase of bushes should start within the next 6 weeks.

Google fiber- waiting for an update early next year. 


Updates:


Pool tile and resurfacing update- Still on for Memorial Day weekend. 

Lights in spa- Rich to follow up with contact. Light install for spa. 

Fence paint day- April 30th,1:00 pm. Depending on Weather. Will keep the community posted.

Renea will be getting supplies.

Outside chimney brick-(Craig) - working on finding brick with Craig

Hot tub update: used 33 times by 11 households ~one hour or less per use


New Items:


Balconies, Window box request- Craig fixed the last one, working with the owner, waiting for warmer weather to follow up repairs.

Excess and split wires at clubhouse- this matter has been taken care of

Power box does it need to be locked? - Craig to check

Brianne replacement- Brian McCampbell: dues paid. Until October.

Morgan maternity help- Janelle and Kristina to check registration forms. Help anyway possible. 

New Passwords- new password change


Agenda Items: 


Dumpster- April (Kristina), May (Renea) - Dumpsters are looking good.

Insurance renewal- (Cheryl & Janell)- going up $2,000 each year. Statewide increase. Increasing the building structure. Check with Dean/ push back or middle ground option. Cheryl will follow up.

Community email Springtime email- Update the community along with city wide clean up days 

Fence repair Cloward/Parmley- fixed and done

Shrub 708 North (Pratt)- taken care of

Pest spray on the main annual agenda for April spray? -Moxie, Cheryl will check with Moxie for community's next spray.

Concern of hot tub


Updates: 

-hot tub stats/update- 11 homes have used it. (Gap of not being used at all February 26-March 6). Same people using it. Jets are working. Lights for the hot tub have been on back ordered. Follow up with Rich on his contact. Pool tile mid-March or end of March to get a bid out for tiles. May 23rd attentive date to have ready and open for the community.


-pool fence repair date/discussion- April 30th to paint and repair. Renea supplies is in charge of getting supplies needed. Watching weather report as April 30th approaches and will inform the community if date has changed due to weather.

 

-refreshing the lines in front parking area- Once crack resealed, lines will be repainted to determine front clubhouse area parking.


-Move in/outs- 744 North new owner. 726 moved out. No new occupants at this time.


-Garbage pickup - dumpsters for March (Janell), April (Kristina). Kristina is watching for extra trash day pick up to see if it is being done.


-RV spring clean-up-community dump day- Kristina is checking with Springville City when do the city-wide cleanup.


-Follow up with Welcome Packet.

-who has them-need to make more- Kristina email to new move in

-who is in charge of getting them to new move ins/tangible or website


-Website follow up- login for board- good feedback on website. Email website to community. Hot tube and google form and website address and fence day- Renea send out a community email.

PayPal is working. Figuring out for website be searchable for the Willows on google. Google business. Link on the blog for website.


-Google fiber- Good to go. Installation soon but no confirmed date to when. 


Rich- Landscaping (sorry again I am not able to be in attendance)

-I have updated the google doc “Landscaping Board Member Duties” to reflect the changes of no longer working with Peak and Wasatch irrigation. I have saved their information, bids, pricing, and contact information if at some point we needed to get back in touch with them. Additionally, I have updated the doc to reflect Cowboys contact and contract details.

-2022 Landscaping contract with Cowboys is signed and submitted to them. They are set in place to get Spring clean-up when the weather becomes appropriate.

- Truck complaint about overgrown tree limbs scratching truck. Cowboys has been out to trim the tree and nothing further needs to be done.

-Villegas Electrical- pool electrical prior help. Still no response from him on putting in the new relays for lights which we have already paid for them to do. I will keep hounding him and I know he will get it done, promise.  

-Republic (Trash services)- Now that this is within the landscaping board member’s responsibilities, I have added these details in the board member doc duties as well. Question: are we actually receiving the extra Friday pick up?

- Beginning 1st of March, we will officially have this in contact and paying appropriately for these services.

- 4, 8-yard containers $310 monthly for the weekly service

- 2, 4 yd containers, $137.97 monthly for the weekly service

- Extra service a week on Fridays for 1 8yd container is $178.86 monthly

-TOTAL Monthly- $626.83. (This is probably different from what we have been previously paying but we negotiated and this should be the new billing rate post March 1, 2022.

New Business: Update:

  • Delinquencies:

  • Website update: upcoming publication of a new The Willows website.

  • Review of actual 2021 expenses-

  • Pool provider change plus repair schedule- Utah pools working on bid for water line, tile repairs. Rocky Mountain is coming in March to give a bid. Checking bids between the two companies. The HOA is aware the jets and lights are not currently working and are working with Utah pools to get this matter fixed.

  • Theater room missing sound equipment - It was brought to the HOA boards attention that the main speaker in theater room is gone. The system still works great. We ask that no one for any reason remove any remotes or speakers from the theater room.  

  • Landscaping and training Brianne - Cowboy company has been doing great job. Contract with Cowboy. Spring cleanup will be done by the end of March first of April. At that time the grass will be aerated, first coat of fertilization put down along with checking the waterline. The process of the second phase of bushes will be discussed and a time frame determined. 200 East is where the second phase will be. Replacing around 60-70 bushes. Spring is when it will be decided what needs to be replaced.  

  • Board schedule for fence painting/supplies- Before pool cover is off. Attentively looking at the end of April. April 23rd or the 30th. Renea is over getting supplies. Kristina will talk with Craig about best way go about repairs.

  • Land use/dog park information - Application to be approved. Check what percentage we owe. Can we do something with the land across from community. Dog park ideas? Required green space. 

  • Hot tub stats/ discussion–used 10 times by 7 households (Feb 01- Feb 09) average use is a little less than an hour per visit. Positive feedback with it being open. 

  • Move in/outs- 744 is under contract. 

  • Spring cleanup/schedule- tabled for next month

Next HOA meeting is Wednesday March 9,2022 @7:00 p.m. in the Clubhouse.

Community: Mountain Alarm- Brivo: New system figuring out tomorrow: This issue has since been resolved. 


Fence repair- update- issue has been resolved. 

Units behind- proper steps are being taken in this matter.


New Business:

Board positions/training- 

Google voice number-go ahead give it a try. Brianne on it.


Website- Brianne is working on this for the February meeting.


Land options/dog park- sale if possible that money can go towards our community. Contact Springville City zone department. Check for green space. Legal limits? Big and little area. What can we do with both areas? 


Move in/outs-missing owner/update- Welcome all new move-ins. 

 

Cowboy snow removal: follow up- doing great. Just need to clear in front of the clubhouse and extra parking/visitor parking.

Unit sales process/mapping.


Process for sale of units: process of better communication. Is there or what can be done as a board to better this process? Discussion tabled for next month's meeting. 


Plans for Spring

  • Fence Painting - Set plan idea for February HOA meeting. Plan to do it at the end of March/April. More information on this to come. 

Trash/dumpster update etc. - Trash pickup for the dumpster on 200 E. scheduled for Tuesdays and Fridays. Other dumpsters are just on Tuesdays. 

Pool/hot tub- trying to find company. Check with Jace and his contact.
